I move that Council approve Contract for General Services, Agreement No. AGR 26-26 with Sancre Productions, LLC in the Amount of $308,000, plus Applicable Gross Receipts Tax, for the Purpose of providing entertainment for the 4th of July Celebration event.

Body
Sancre Productions LLC currently holds two contracts with Los Alamos County: Contract No. AGR20-28 for coordination of the County’s Summer Concert Series, and Contract No. AGR22-51 for entertainment services for the annual Fourth of July Celebration. Contract AGR22-51 has expired, and a new agreement is required to continue the County’s annual Independence Day event.
To secure these services, the County issued Request for Proposals (RFP) No. 26-26 on September 5, 2025, seeking qualified firms to provide coordination and management for the County’s Fourth of July Celebration. Following evaluation in accordance with the criteria set forth in the RFP, Sancre Productions LLC was determined to be the most responsive and responsible proposer.
Under the proposed contract, Sancre Productions LLC will plan and execute the County’s Fourth of July Celebration event, focusing on live musical entertainment at either Overlook Park or Ashley Pond Park, as designated by the County. The event will be free and open to the public, including admission, parking, and entertainment. The contracted total cost for the free 4th of July Celebration event is $125,750, which includes fireworks ($50,000, year 1), drones ($40,750), and musical entertainment ($35,000, year 1).
The proposed agreement will have a seven-year term, commencing November 5, 2025, through November 4, 2032, unless terminated earlier as provided in the agreement. The contract includes an annual cost escalator to account for inflation and operational expenses. The total contract amount shall not exceed $308,000, excluding New Mexico gross receipts tax.
Alternatives
County Council can choose not to approve this agreement.
