Approval of Amendment No. 3 to Services Agreement No. AGR24-935 with Unite USA Inc. for Continued Access to the Unite Us Platform
Recommended Action
I move that Council approve Amendment No. 3 to Services Agreement No. AGR24-935 with Unite USA Inc., extending the Agreement through March 11, 2030, and authorizing an additional $237,119.50 for the three-year extension, for a total agreement amount not to exceed $455,344.53, plus applicable New Mexico gross receipts tax.

Body
Los Alamos County entered into Services Agreement No. AGR24-935 with Unite USA Inc. on March 12, 2024, to provide the County and participating community service organizations with access to the Unite Us platform. The cloud-based platform supports electronic referrals, case management, service coordination, and the secure exchange of information among participating organizations serving Los Alamos County residents.
The current Agreement expires March 11, 2027, and includes an option to renew for an additional three-year term, subject to mutual agreement and applicable procurement and appropriation requirements.
The Social Services Division requests Council approval of Amendment No. 3 to extend the Agreement for an additional three years, beginning March 12, 2027, and ending March 11, 2030.
Continued access to Unite Us will allow the County and participating community organizations to maintain a centralized platform for managing referrals, coordinating services, and connecting residents with available health and social service resources. The platform supports communication and coordination among participating providers and assists the Social Services Division in managing client services and tracking referrals.
Extension Period Annual Cost
Year 4: March 12, 2027 – March 11, 2028 $73,756.25
Year 5: March 12, 2028 – March 11, 2029 $78,919.25
Year 6: March 12, 2029 – March 11, 2030 $84,444.00
Total Extension Cost $237,119.50
All amounts exclude applicable New Mexico gross receipts tax.
Amendment No. 3 increases the total agreement not-to-exceed amount to $455,344.53, inclusive of the original agreement term and the proposed three-year extension.
Alternatives
Council could choose not to approve Amendment No. 3. If the amendment is not approved, the Agreement would expire March 11, 2027, and the Social Services Division would need to evaluate alternative options for electronic referrals, case management, and coordinated service delivery.
Fiscal and Staff Impact/Planned Item
The total cost of the three-year amendment term is $237,119.50, plus applicable New Mexico gross receipts tax. Costs are scheduled at $73,756.25 for Year 1, $78,919.25 for Year 2, and $84,444.00 for Year 3. Funding will be subject to annual appropriation and availability of funds in the Social Services Division budget.
There is no additional staff impact anticipated as a result of this amendment. Existing Social Services Division staff will continue to administer the Agreement and coordinate use of the Unite Us platform.
